Your First Week with ChurchCRM
This guide walks you through a typical first week as you get your church set up in ChurchCRM. Follow along day by day, or adapt the pace to your needs.
Day 1: Initial Setup and First Families
Configure Church Details
- Log in as admin (change the default password immediately).
- Go to Admin → Edit General Settings.
- Under Church Information, enter your church name, address, phone, and email.
- Under Report Settings, fill in the same details — these appear on financial statements and letters.
- Under Member Setup, set your default city, state, and country for new records.
Add Your First Families
Start with a few families to learn the workflow:
- Go to People → Add New Family.
- Enter the family name and address.
- Add family members (up to 10) in the form — use the first name field for each; last name only if different from the family.
- Click Save.
Repeat for 3–5 families. See Families for more detail.
Day 2: Classifications and More People
Set Up Classifications
Classifications define roles (Member, Guest, Regular Attender, etc.):
- Go to People → Classifications.
- Review the default classifications and add or rename as needed for your church.
- Assign classifications to the people you added yesterday.
Add More People
- Use People → Add New Person for individuals (e.g., single adults).
- Or add more family members by editing existing families.
- Assign each person a Classification.

Day 3: Groups and Structure
Create Groups
Groups help you organize people — Bible studies, ministry teams, committees:
- Go to Groups → Add New Group.
- Enter a name (e.g., "Sunday School – 3rd Grade").
- Choose a group type (e.g., Sunday School, Small Group).
- Add roles if needed (Leader, Member, etc.).
- Click Save.
Add Members to Groups
- Use Search or View All Persons to find people.
- Add them to your Cart.
- Go to Cart → Empty Cart to Group.
- Select the group and click Add to Group.

Day 4: Events and Attendance
Create an Event Type
- Go to Events → List Event Types.
- Click Add Event Type.
- Set name, recurrence (weekly, monthly, etc.), and default start time.
- Add attendance count fields (e.g., Members, Visitors, Children).
- Save.
Create an Event and Record Attendance
- Go to Events → Add Church Event.
- Choose the event type, set date/time, and save.
- To take attendance: add people to the Cart, then Empty Cart to Event.
- Select the event and add them.

Day 5: Finances
Set Up Funds
- Go to Fundraiser → Edit Fundraiser (or via Admin).
- Add donation funds (e.g., General Fund, Building Fund, Missions).
Enter Pledges and Donations
- Open a Family record.
- Click Add a new pledge — enter amount and fiscal year.
- Click Add a new payment — enter date, amount, fund, and method.
- Create a Deposit Slip to batch donations for the bank.

Day 6: Email and Reports
Configure Email (Admin)
- Go to Admin → Edit General Settings → Email Settings.
- Enter SMTP host, username, and password.
- Test by sending a test email.
Send Your First Group Email
- Add recipients to the Cart.
- Go to Cart → List Cart Items.
- Click Email Cart to open your email client with recipients in BCC.

Run Reports
- Go to Data/Reports → Reports Menu.
- Try Family Directory, Attendance Reports, or Pledge Summary.
Day 7: Review and Plan
Back Up Your Data
- Go to Admin → Backup Database.
- Download the backup and store it safely.
